Subject: Operational Guidelines for Use of Examination Management System (EMS)

The National University has introduced the Examination Management System (EMS) to modernize examination procedures, reduce manual errors, and ensure timely submission of data. The 2023 Degree (Pass) and Certificate Course (3rd Year) Examinations will therefore be administered using this digital system.

Examination centers are instructed to implement the following steps carefully.


A. Instructions for the EMS Center Panel

  1. Account Access
    Each center will receive login credentials to access the EMS portal. The official email address of the respective institution will serve as the User ID.

  2. Invigilator Assignment
    The Center-in-Charge must register invigilators within the EMS panel before the start of the examination and assign them to individual halls.

  3. Technical Readiness
    Devices used for EMS activities must be fully charged and connected to a stable internet network at least one hour prior to each session.

  4. Recording Absentees
    Absentees must be entered through the Absent Entry option in the EMS panel, using correct roll numbers.

  5. Expulsion Records
    Any expulsion or disciplinary action must be documented through EMS and forwarded to the Controller’s Office according to prescribed rules.

  6. Top Sheet Generation
    Once attendance is finalized, the Top Sheet must be generated digitally. Two printed copies are required: one for center records and one for official submission.


B. Guidelines for the Invigilator Mobile Application

  1. Login
    Invigilators must download the “NU Invigilator” App from Google Play Store and log in with their provided credentials.

  2. Attendance Collection
    At the start of the examination, invigilators must scan the QR codes on candidates’ admit cards and answer scripts. The records must be uploaded to the NU server within the examination period.

  3. Absent Candidates
    Roll numbers of absentees must be entered directly in the app using the Absent Entry function.

  4. Manual Backup
    Along with digital attendance, a manual attendance sheet must also be completed and preserved as an official backup.


C. Support and Contingency

  • If internet service is disrupted, invigilators must continue with manual attendance and upload the data once connectivity is restored.

  • If the mobile app fails, invigilators must document attendance manually and report the incident to the Center-in-Charge.

  • All passwords must remain confidential, and devices should be kept under supervision throughout the examination period.

For any technical challenges with EMS or the Invigilator App, examination centers may contact the official support team.
